About the Role
The Information Governance Operations Manager is an integral part of Latham’s Information Governance team. This role will be responsible for providing leadership and managing all day-to-day operations of the Information Governance Operations team, while leveraging opportunities to enhance the Information Governance program by utilizing a thorough understanding of information management, security, and privacy principles. This role will be located in our Brussels office and will support the Paris and the Brussels offices. Please note that this role may be eligible for a flexible working schedule that allows for a hybrid and in-office presence.
Responsibilities & Qualifications
Other key responsibilities include:
- Managing the day-to-day operations of the Information Governance Operations Department, as well as supervising and developing the team
- Advising and educating firm personnel on the appropriate locations where data should be stored, understanding the firm’s systems and tools, and acting as a resource regarding various information governance questions for staff, attorneys, and other users
- Managing all aspects for all information governance processes including file intakes, releases, destructions, and data access requests for the office, ensuring compliance with firm policies, ensuring completion of the relevant process, and responding to questions from staff and other users and providing instruction and training as needed
- Implementing information governance policies and procedures and ensuring compliance with legal standards
- Developing and supervising orientation and training programs for Information Governance
- Researching and providing continuous improvement strategies for the office, while managing and driving changing objectives related to the information governance field
We’d love to hear from you if you:
- Demonstrate excellent leadership skills (i.e., organising, planning, problem-solving, and decision-making) necessary for effective management
- Display the ability to supervise work of others to ensure compliance and accuracy
- Possess knowledge of information governance, data security and privacy principles, best practices, and procedures; display basic understanding of various legal systems and a broad understanding of the types of documents encountered in a legal environment
And have:
- Information Governance, Records, Archive, Information Resources or relevant experience, preferably in a law firm
- Experience in leading a team, and organizing and coordinating their work to ensure departmental objectives are met in a timely and accurate manner
- Experience implementing and administering policies and procedures, preferably
- Fluent proficiency in both English and French

Nous recherchons un·e Documentaliste rigoureux·se, méthodique et orienté·e qualité pour rejoindre notre équipe basée sur notre campus UCB à Braine‑l’Alleud, Belgique.
À propos du rôle
Vous allez assurer la gestion et la diffusion des documents contrôlés et des formations du site de Braine au sein des systèmes électroniques UCB (EDMS/LMS), dans le respect des exigences de conformité. Vous jouerez également le rôle d’archiviste du site, en garantissant une gestion rigoureuse des archives papier et en assurant la préparation de documents dans le cadre des audits et inspections.
Avec qui vous allez collaborer
Vous travaillerez en étroite collaboration avec les équipes Qualité, les propriétaires de documents, les formateurs, les line managers et les utilisateurs des systèmes, sur le site de Braine et au sein d’autres entités UCB. Vous serez un point de référence pour la gestion documentaire, les formations et les archives dans un environnement réglementé GxP.
Ce que vous allez faire
- Vous allez gérer le cycle de vie complet des documents contrôlés dans le système électronique UCB.
- Vous serez responsable des workflows d’approbation, des mises à jour, des revues périodiques et des mises en obsolescence.
- Vous assurerez la gestion des formations et des plans de formation dans le système de gestion des formations.
- Vous fournirez un support aux utilisateurs des systèmes de gestion documentaire et de formation.
- Vous garantirez une classification, une diffusion et un archivage conformes des documents.
- Vous gérerez les archives papier et préparerez les dossiers nécessaires aux audits et inspections.

Pour ce rôle, nous recherchons les compétences et qualifications suivantes
- Expérience antérieure en gestion documentaire ou systèmes qualité.
- Expérience en gestion électronique des documents et des formations.
- Expérience en archivage papier est un atout.
- Excellentes capacités d’organisation et de gestion des priorités, notamment en période d’audit.
- Esprit d’analyse et rigueur dans l’identification des non‑conformités.
- Capacité à travailler en équipe et avec des interlocuteurs variés.
- Excellente maîtrise du français et bonne connaissance de l’anglais.

Your role
- Develop and manage library collections with an emphasis on medicine, health sciences and other STEM fields , e.g., engineering, computer science, life sciences, mathematics
- Provide expert guidance, research support and information literacy training tailored to medical and health sciences programs and to all STEM disciplines
- Act as a liaison between LLC and University stakeholders, e.g., faculty, researchers, students, and departments, supporting new and expanding programs
- Conduct literature searches, systematic reviews and support advanced research and clinical information needs for students, teaching staff and researchers
- Develop subject guides, web pages, bibliographies, thematic selections and keep collections up-to-date with fast-moving developments in medicine, health sciences and other STEM subject areas
- Implement and promote digital tools, databases and electronic resources in line with University standards and best practices
- Define, lead, and continuously enhance standards, methodologies, frameworks and best practices for information management, literature searching and the use of medical and scientific resources, ensuring consistency, quality, and alignment with international academic and clinical standards
- Act as a reference expert and authority in medical and health information practices, driving the adoption and continuous evolution of guidelines and processes across the University through training, guidance, and collaborative initiatives

- Assist in collection policy, acquisition planning, budget management and cross-team collaboration to expand and reorganise resources, including preparation for new programs and research areas
- Analyse usage data and feedback from internal stakeholders to inform collection evidence-based decisions and improve services
- Engage in regular collaborative teaching, consultative feedback, research support and service innovation as part of the UL libraries’ mission
Your profile
- Master’s Degree in Library/Information/Documentation Science OR a Master’s in a medical, health or scientific discipline completed with Information Management training
- Relevant experience in a university library (5+ years), ideally with a focus on medicine, health sciences or clinical information environments
- Familiarity with library management systems, especially Alma, e-resource management and advanced database skills
- Up-to-date knowledge of resources, databases and technologies relevant to medicine, health and STEM subjects
- Ability to work collaboratively across diverse teams and academic departments
- Demonstrated experience in supporting research, teaching and information literacy tailored to diverse user groups
- Fluency in English and proficiency in French are required; working knowledge of German and/or Luxembourgish is considered an asset

As the University expands both its health education programs at the Faculty of Science, Technology and Medicine (FSTM) (medicine, nursing sciences, midwifery sciences, medical technical radiology assistant and prospective Master in Medicine) and research centres (Luxembourg Centre for Systems Biomedicine), we are looking for a Librarian Specialist with a primary focus in Medicine & Health Sciences to join the University library. The position currently serves also other STEM (Science, Technology, Engineering, and Mathematics) subjects, but will play a pivotal role as medical and health sciences grow, including supporting the future Faculty of Medicine.

Your role
We are looking for a specialist in the Library’s strategic growth area of research support and information skills training. Based in Belval, with the opportunity to offer support and training at our other campus locations in Luxembourg, the person will be involved in developing new innovative research support services around research data management, in collaboration with colleagues and senior managers. You will also contribute to developing the information skills training programmes in partnership with the learning and teaching centres of the University. You will help to promote the development of the Library’s emerging research support services.
Key Responsibilities:
- Contribute to the development and implementation of research support services, policies, and future service planning
- Provide specialist support for the University’s research activities, with a priority on research data management, and additional support around open science, open access, bibliometrics, and scholarly communication
- Assist with the development and management of institutional data and publishing repositories, e.g. contributing to efforts in data quality, compliance with funder requirements, and timely deposit of research outputs
- Support day‑to‑day operations of the Library’s Research Support team, including responding to enquiries and maintaining service documentation
- Develop and deliver training, workshops, and one‑to‑one consultations for researchers, students – bachelor, master and doctoral, and academic research support staff
- Establish and maintain strong working relationships with researchers and students, as well as across the Library and research support services, to establish requirements and inform service delivery
- Promote all research support services of the Library
- Contribute to the development of Library policies and practices
It is anticipated that 80% of the role involves outreach and development of research support services, and 20% of the role involves developing and providing training in information skills topics, e.g. research data management, information literacy and use of digital tools.
Your profile
- Master’s degree or equivalent professional experience in an academic, research, digital, or information-intensive environment
- 3+ years’ experience in research support environments with a focus on research data management
- In depth knowledge in research data management and related trends
- Library and/or teaching experience is an asset
- Excellent interpersonal and communication skills to engage diverse stakeholders and promote services
- A PhD is considered an asset
- Full proficiency in English; good knowledge of French or German would be an asset
