A leading global science and innovation company is seeking a Records & Digital Archives Manager to lead and evolve its records retention and digital preservation strategies across a complex international environment. Role Overview
We are looking for a seasoned professional to oversee the full lifecycle of physical and digital records and ensure long-term preservation of key assets, while maintaining compliance with regulatory frameworks and international archival standards. You will play a pivotal role in modernizing the records management landscape and safeguarding a vast and diverse corporate memory.
Your Responsibilities
Lead information management across global locations, ensuring classification, accessibility, and compliance with laws and archival standards
Collaborate with internal departments and external vendors to implement and enforce records management and digital preservation policies
Manage the lifecycle of both physical and electronic records: classification, storage, retention, and disposal
Work with IT and security teams to implement automated data retention and archiving solutions
Oversee digital preservation systems and off-site records center activities
Evaluate storage needs and optimize rented space to reduce costs
Support vendor selection, negotiate service contracts, and oversee their execution
Provide regular reporting for budget planning and control

What You Bring
Project Leadership & Change Management
Proven experience leading governance and change management initiatives
Ability to educate and train stakeholders on information management policies
Strong organizational and project management skills
Communication & Stakeholder Engagement
Ability to work cross-functionally with Legal, IT, Procurement, HR, and Communications
Excellent reporting and documentation skills
Strong negotiation abilities with third-party vendors
Compliance & Regulatory Knowledge
In-depth understanding of data protection laws (e.g., IA Act, GDPR) and their impact on records management
Knowledge of e-discovery, litigation readiness, and regulatory compliance
Records Management Expertise
Experience with international standards for records and archival management
Ability to develop and implement classification schemes, metadata standards, and taxonomy
Lifecycle management expertise from creation to final disposition
Digital Preservation
Knowledge of ISO 14721 (OAIS) and preservation strategies (e.g., migration, emulation)
Familiarity with metadata standards such as Dublin Core, METS, PREMIS
Experience with digital archiving tools (e.g., Documentum, OpenText, Preservica)
Understanding of eIDAS, DRM, electronic signatures, and audit trails
Additional Information
Flexibility in hybrid working, though regular presence at the Brussels HQ may be required
